Clinic Registration Requirements

For clinics joining SmileSlot in Kenya

Before you submit: Use this checklist to prepare evidence that your clinic is legally established, appropriately licensed, and ready to provide safe care. Requirements can vary by facility type, county, services, and professional scope.

1. Business and facility registration

  • Certificate of incorporation or business-name registration from the Business Registration Service (BRS), where applicable.
  • Current KRA PIN and evidence of tax compliance where required.
  • County government business permit and any applicable public-health, fire-safety, signage, or premises approvals.
  • Proof of the clinic's physical address, lease or ownership documents, and a responsible owner or facility administrator.
  • Facility registration and licensing through the relevant health regulator, including the Kenya Medical Practitioners and Dentists Council (KMPDC) where applicable to the facility and services offered.

2. Professionals and scope of practice

  • Each doctor, dentist, nurse, clinical officer, pharmacist, laboratory professional, or other practitioner must hold a current Kenyan practising licence from the relevant regulator.
  • Staff credentials, registration numbers, qualifications, and professional indemnity cover should be kept current and available for verification.
  • The clinic must offer only services within its licensed facility scope and the practitioner’s lawful scope of practice.
  • Maintain staffing, supervision, referral, and emergency arrangements appropriate to the services provided.

3. Patient safety and clinical operations

  • Written procedures for patient identification, informed consent, triage, referrals, emergencies, complaints, and incident reporting.
  • Infection prevention and control measures, including hand hygiene, sterilisation, personal protective equipment, cleaning, and safe handling of sharps.
  • Proper segregation, storage, and disposal of medical waste through approved arrangements, in line with applicable public-health and environmental requirements.
  • Safe storage and documented management of medicines, vaccines, controlled drugs, equipment, and clinical supplies where applicable.
  • Accessible first-aid and emergency equipment, maintenance records, and appropriate backup or continuity arrangements.

4. Health information and privacy

  • Documented privacy, confidentiality, access-control, retention, breach-response, and secure disposal procedures for patient and staff information.
  • Compliance with Kenya’s Data Protection Act, 2019 and applicable regulations, including lawful processing, transparency, data-subject rights, and safeguards for sensitive health data.
  • Appropriate data protection, cybersecurity, backup, and audit controls for records stored or shared through SmileSlot and other systems.
  • Patient consent and clear notices for the collection, use, sharing, and retention of personal and health information.

5. Documents to prepare for SmileSlot review

  • Facility licence or registration evidence and county permit, as applicable.
  • Owner or authorised administrator identification and contact details.
  • Practitioner licences, professional registration details, and service list.
  • Clinic address, operating hours, emergency contact, referral information, and patient support contacts.
  • Current policies or evidence covering consent, privacy, infection control, medical waste, complaints, and clinical escalation.
Important: This checklist is general operational guidance, not legal advice and not a complete licensing determination. SmileSlot may request additional evidence before approving a clinic. Confirm current requirements directly with the relevant Kenyan authorities, including KMPDC, the relevant professional council, your county government, the Office of the Data Protection Commissioner, KRA, and other applicable regulators. A SmileSlot listing does not replace a licence or authorise a clinic to practise.
